Supplier Terms

These terms apply to every business listed on Raybee, on any plan, including free listings, the Pay per enquiry plan and the tracked phone number add-on. By asking us to list your business, or by using a paid plan or add-on, you agree to them.

1. Who we are

Raybee is run by Raybee Limited, a company registered in England and Wales (company number 17492137), whose registered office is at Armstrong House, 4-6 First Avenue, Hayfield Lane, Doncaster, South Yorkshire, DN9 3GA. In these terms, "we" and "us" means Raybee Limited, and "you" means the business being listed.

Raybee is a search and enquiry service. We help customers find and contact suppliers. We do not take bookings or payments for your services, and we are not a party to any contract between you and a customer.

2. Your listing

We set up your profile from the details you give us and publish it. Please check it once it is live and tell us straight away if anything needs changing. You are responsible for making sure your details are accurate and up to date, including your services, prices, the areas you cover and your availability. Tell us promptly when anything changes.

What your profile shows depends on your plan:

  • Free: business name, base town, services, areas covered, the results of our checks and the enquiry form.
  • Standard, Featured and Priority area: everything in Free, plus from prices, your logo, tagline and business description, and placement above free listings. Featured and Priority area also receive the placement described on the List Your Business page.
  • Pay per enquiry: the same profile and placement as Standard, with no monthly fee. You pay for each enquiry instead, as set out in section 6.

Featured and Priority area places are limited in each area and are allocated on a first come, first served basis. Within each plan, suppliers are listed in the order we decide, which may change.

3. Profile content

Everything you supply for your profile, including text and logos, must be accurate, must not be misleading and must be yours to use. By supplying it, you give us permission to display it on Raybee and in search results for as long as you are listed.

Profile content must not include phone numbers, email addresses, website addresses, social media handles or any other contact details, whether in text or within a logo or image. Customers contact you through your profile. We may edit or remove any content that breaks these rules.

4. Checks

If you carry waste, you must hold a valid waste carrier registration with the Environment Agency, Natural Resources Wales, SEPA or NIEA, as applicable. We check your registration against the official public register before marking you as verified, and we record its expiry date. We then re-check it against the register every month; if it has lapsed or can no longer be found, your profile shows it as not verified until it is confirmed again. You must tell us straight away if your registration lapses, is suspended or changes, and send us your new details when you renew.

We may show your listing as "verification pending", suspend it or remove it if we cannot confirm your registration, or if it lapses. Our checks are a snapshot at the date shown. They are not a guarantee of your business or your work.

Raybee Checked. Your profile shows the Raybee Checked badge once your waste registration has been verified (or is not needed for the services you provide) and we have seen your insurance certificate. The badge is included on every plan, including free listings. You must tell us if your insurance ends or changes. We remove the badge if your registration lapses or your insurance is no longer in place.

5. Enquiries

Customers send enquiries through the form on your profile, and we pass them to you with the customer's contact details. You should reply promptly. You agree prices, dates and terms directly with the customer.

Quote requests. Customers can also send one quote request to up to three suppliers at once. When they do, each supplier receives the same request and is told how many other suppliers it went to. If a customer asks for quotes from the top suppliers in their area, suppliers are suggested in the same order as search results, so paid plans may be suggested first; promoted listings are labelled.

Job details. Enquiries and quote requests may include the customer's answers to a few short questions about the job, such as skip size, where it will go and the type of waste. These answers come from the customer and are not checked by us, so confirm anything that affects your price before you agree it.

Comparing suppliers. Customers can compare up to three suppliers side by side. The comparison uses the information on your profile, such as your from price (on paid plans), our checks, your availability and the areas you cover, so keep it up to date.

Repeat enquiries. If the same customer, identified by email address or phone number, contacts you again through Raybee within 4 weeks (28 days) of their first enquiry, we still pass the new message to you, but it is counted with the first one as a single enquiry. Your monthly report counts it once, and on the Pay per enquiry plan it is charged once.

We keep a record of the enquiries and quote requests sent to you and may contact customers afterwards to ask whether they went ahead and about their experience. We may use this to produce a monthly report for you and to collect reviews.

We do not guarantee any number of enquiries, calls or jobs.

6. Plans, payment and cancellation

  • Monthly plans (Standard, Featured and Priority area) are charged monthly in advance and run month to month until cancelled. All prices are shown excluding VAT, which is added at the current rate.
  • How you pay. Monthly plans and add-ons are paid by card or Direct Debit through our payment provider, Stripe. You save your payment details when you sign up, and nothing is taken until we have checked your details and your listing is live. Your first monthly payment is taken on the day your listing goes live, then on the same date each month. Stripe emails you a receipt for each payment. Direct Debit payments are protected by the Direct Debit Guarantee.
  • Changing plan. Tell us if you want to move to a different plan. Unless we agree otherwise, the new price applies from your next monthly payment date.
  • Failed payments. If a payment fails, our payment provider may retry it over the following two weeks, and we will contact you so you can update your payment details. If it is still unpaid after that, the non-payment terms below apply.
  • You can cancel a monthly plan at any time by emailing enquiries@raybee.co.uk. Cancellation takes effect at the end of the month you have paid for, and we do not refund part months.
  • Pay per enquiry. This plan has no monthly fee. Instead, you pay a charge for each enquiry sent to you, billed monthly in arrears. The charge depends on the service the enquiry is for, using the prices shown on the List Your Business page when the enquiry is received. The service is the one the customer selects on the form; if they do not select one, the lowest charge applies. An enquiry is a message sent to you through the form on your profile, or a quote request that includes you. A quote request sent to you and other suppliers counts as one enquiry for you. Repeat enquiries are counted as set out in section 5. We do not charge for enquiries that are clearly spam, tests or duplicates sent in error, or that have no valid contact details. Calls to a tracked number are charged under section 7, not as enquiries. You must provide a card or Direct Debit before the plan starts. Your monthly report lists every enquiry you are charged for and the charge for each, and if you think one should not have been charged, tell us within 30 days of the invoice and we will review it and credit it if we agree. You can move to Free or a monthly plan from the end of any calendar month.
  • This is the only plan that charges per enquiry. There are no lead fees on Free, Standard, Featured or Priority area, and we take no commission on work you win.
  • Non-payment. If any payment due to us, including plan fees, enquiry charges, the tracked number fee or call charges, is not made when due, we may immediately and without notice withdraw your tracked number and suspend or remove your listing. Any amounts outstanding remain payable. We may restore your listing once all outstanding amounts have been paid, but we are not obliged to reissue the same tracked number.
  • We may change our prices, including the charges per enquiry, by giving you at least 30 days' notice. If you do not accept a change, you can cancel before it takes effect.

7. Tracked phone number add-on

The tracked phone number is an optional add-on that we are introducing. When it is available, it can be added to any listing, including free. Until then, this section does not apply.

  • Charges. A monthly fee for your dedicated number, taken on the day the number starts and then monthly in advance, plus a charge per minute for calls to the number, billed monthly in arrears. Call time is charged in whole minutes, counting any part minute as a full minute. The current fees are shown on the List Your Business page. The number is free with Featured and Priority area, with no monthly fee; calls are charged at the same per-minute rate as for other plans.
  • Payment. You must provide a card or Direct Debit before your number is set up.
  • Checks first. We only issue a tracked number once your waste registration, where applicable, has been checked.
  • Use. The number is for use on your Raybee profile only. It must not appear on vehicles, signs, printed materials, websites, social media or any other advertising.
  • Ownership. The number belongs to us. It is not transferable, and you do not acquire any right to it. When your add-on ends, we may redirect or reassign the number.
  • Cancellation. You can cancel the tracked number by giving us at least 30 days' notice. We may also end the add-on by giving you at least 30 days' notice. The monthly fee is payable until the notice period ends, and call charges up to that date are billed in your final invoice. This does not affect our right to withdraw the number immediately for misuse or non-payment.
  • Misuse. If the number is used outside your profile, we may withdraw or redirect it without notice, and you remain liable for all call charges incurred.
  • Price changes. Call charges are based on our telecoms provider's rates and may increase if their rates increase. We will give you at least 30 days' notice of any change.
  • Service. Calls rely on third-party telecoms networks. We will take reasonable care to keep the service running but cannot guarantee that every call will connect.
  • Records. Your monthly report lists each call, its length and missed calls, so you can check what you are billed for. Where the same number calls you more than once within 4 weeks, the report flags it as a repeat caller.

8. Reviews

Where reviews are displayed on your plan, we show every genuine review we receive, positive or negative, as long as it meets our review policy. You cannot pay to remove or change a review. We only remove reviews that break our policy, for example because they are abusive, contain personal information or are not about the service.

You must not write or arrange reviews of your own business or a competitor's, or offer anything in return for a review. If you invite your own customers to leave a review, you must invite all of them, not only those you expect to be positive. Reviews already received stay on record if you change plan.

9. Data protection

When we pass you a customer's details, you become responsible for how you use them. You must use them only to respond to that enquiry and to provide your services, and handle them in line with UK data protection law. How we handle personal data is set out in our privacy policy.

10. Suspension and removal

We may suspend or remove a listing, or withdraw an add-on, immediately if a payment is not made when due. We may also do so if you break these terms, if your waste registration cannot be confirmed or lapses, if we receive repeated or serious complaints about your business, or if we reasonably believe your listing could mislead customers; in those cases, where it is reasonable to do so, we will tell you first and give you the chance to put things right.

11. Our liability

We will provide Raybee with reasonable care and skill. We are not responsible for the work you carry out for customers, for disputes between you and a customer, or for any loss of business, profit or opportunity. Our total liability to you in any 12-month period is limited to the fees you paid us in that period. Nothing in these terms limits liability that cannot be limited by law.

12. Changes to these terms

We may update these terms. We will give you at least 30 days' notice of any change that affects you materially. If you do not accept a change, you can cancel before it takes effect.

13. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
